Terms of Reference: Chief Executive Officers – Cocktail Event
Introduction:
The World Wide Fund for Nature (WWF) is the world’s leading independent conservation organisation with a global network in over 100 countries. Our mission is to stop the degradation of the planet’s natural environment and to build a future in which people live in harmony with nature. We have been working in Zambia since 1962 organising our efforts across Freshwater, Wildlife, Forests and People.
In the Kafue Flats, WWF has been working with the Water Resources Management Authority, ZESCO and private sector companies (ABInBev, Zambia Sugar and Zambia Breweries) to ensure that the water that 50% of the Zambian population depends on, is conserved. Recently, WWF filmed a video “Water is Everybody’s Business”, that showcases the work of WWF and partners in the Flats so far. WWF is therefore looking for an event company that will plan and execute activities related to launching this documentary, through a cocktail. It is also hoped that the event will result in the recruitment of more private sector, to work together, to protect the Kafue River.
Objectives of the Assignment – Deliverables:
Working closely with the Communications and Freshwater teams, the event manager will be responsible for managing all logistics related to the event. This will include;

Securing of a venue for the event

Designing and sending out invitation letters both as email and hard copies

Securing a minimum of 10 private sector companies to attend the event. 3 are already working with WWF, the other 7 will need to be approached by the event manager.

Inviting and managing media
-
Managing décor for the event
-
Hiring a photographer to cover the event

Contributing to the programme of the event and ensuring that things move according to a pre-determined plan

Social media communication, including hashtags etc

Securing backdrops, teardrops and banners
-
Proposing activities where the video could be used, 3 months after the event.
Key competencies:
The event manager is expected to have at least 5 years proven experience in conducting similar assignments.
Timeframe:
The timeframe for this assignment is 4th November, 2019 to 5th April, 2019.
The proposed dates of the cocktail are between 25th and 29th November, 2019.
